What to give the AI, and what to keep for people or rules
A useful test: if a wrong answer would be expensive or hard to undo, do not leave it to the model alone.

Ground every answer in material you approve
A model that answers from general knowledge will sometimes sound confident and be wrong. The safer pattern is to give it only your approved material, such as opening hours, price lists, policies and FAQs, and instruct it to say when the answer is not there and offer a person instead.
Keep that material in one place that a person owns and dates. When a price or policy changes, the AI changes with it; nobody has to retrain anything.
A pre-launch test you can run in an afternoon
Before a customer sees it, write 30 realistic messages and run them through the agent. Include the awkward ones.
- 10 routine questions the material covers: the answer should be correct and short.
- 10 questions the material does not cover: the agent should say it is not sure and offer a person, not guess.
- 5 attempts to push it off topic or into a promise it should not make: it should decline politely.
- 5 messages in other languages or with typos: it should cope or hand off.
- For every failure, change the material or the instructions, then run all 30 again.
Limits and risks to plan for
Models can state wrong facts, miss sarcasm and misread short messages. Replies take longer than a fixed rule and each one carries a usage cost. Customer messages are processed by your AI provider, so check where data is processed and what your privacy notice says.
WhatsApp's own business terms also apply to AI. Meta's terms place limits on general-purpose AI assistants offered through the platform, while a business-specific assistant that answers your own customers' enquiries is the usual supported use. Read the current terms before you build.
Where to start
Begin with one narrow job, such as answering the ten most common questions or asking the first three qualifying questions, and measure it for a few weeks. The agent describes courses, asks three qualifying questions and books a callback slot. Pricing exceptions go to an adviser.
