How WhatsApp automation works

Every automation starts with an event: a customer sends a message, a form is submitted, or an order changes status. Software then decides what to do, either by following fixed rules or by using an AI model, and sends a reply through WhatsApp.

On the WhatsApp Business Platform, Meta delivers each inbound message to your server as a webhook. Your software processes it and replies through the Cloud API. Because the logic runs on your side, it can read from and write to your CRM, calendar, store or helpdesk.

The two official routes

The WhatsApp Business app is free and built for small teams. Its automation is deliberately simple: a greeting message, an away message, saved quick replies and labels to organise chats. Details of what is free are in free WhatsApp automation.

The WhatsApp Business Platform is the API route. It is designed for chatbots, system integrations, shared team inboxes and message templates, and is usually set up through a developer or a Business Solution Provider. Developers can start with the Python guide or the Node.js guide.

The 24-hour customer service window

When a customer messages your business, you can reply with free-form messages for 24 hours after their most recent message. This is called the customer service window.

Outside that window, a business can only start or resume a conversation with a pre-approved message template, and only with people who have opted in to hear from it. Most well-designed automation is built around this rule.

What can be automated

Repetitive, predictable conversations are the best candidates:

  • Greeting and out-of-hours messages
  • Answers to frequently asked questions
  • Lead qualification: asking a few questions and tagging the result
  • Order, booking and appointment updates sent as templates
  • Reminders and follow-ups to opted-in contacts
  • Routing a conversation to the right person, with the full history

Limitations to know before you start

Automation is strongest on predictable questions and weakest on judgement. It cannot satisfy a customer who needs a decision, and it cannot message people who never opted in. Business-initiated messages outside the 24-hour window must use approved templates, which take time to approve and cost money to send.

What to avoid

Tools that automate a personal WhatsApp account through WhatsApp Web, browser extensions or scraping are not part of the official platform. They can breach WhatsApp's terms and put the phone number at risk of being restricted or banned.

Messaging people who have not opted in is the other common mistake. It leads to blocks and reports, which lower the quality rating of your number and can limit what you are allowed to send.

How to start with WhatsApp automation

    Choose the most repetitive conversation, for example a pricing question or a booking request, and write down the ideal reply.

    Use the WhatsApp Business app if greeting, away and quick-reply messages are enough. Choose the WhatsApp Business Platform if you need chatbots, integrations or several agents.

    Collect opt-in

    Make sure customers have agreed to receive messages from you on WhatsApp, and record where and when they agreed.

    Build the flow with a human fallback

    Automate the predictable part and always give the customer an easy way to reach a person.

    Measure and refine

    Track response time, resolved conversations and handoff rate, then improve the flow where customers get stuck.
