WhatsApp Automation for Business

Pick your first workflow with a simple score
The most common mistake is automating everything at once. Score each candidate workflow from 1 to 5 on four questions, add the scores and start with the highest.
- Volume: how many times a week does this conversation happen?
- Repetition: is the answer the same most of the time?
- Revenue link: does a faster or more consistent reply change whether someone buys or books?
- Data readiness: do you already have the information needed to answer, such as prices, hours or availability?
| Candidate workflow | Volume | Repetition | Revenue link | Data ready | Total |
|---|---|---|---|---|---|
| New enquiry first reply | Volume5 | Repetition5 | Revenue link5 | Data ready4 | Total19 |
| Appointment reminders | Volume4 | Repetition5 | Revenue link4 | Data ready5 | Total18 |
| Order status questions | Volume4 | Repetition5 | Revenue link3 | Data ready4 | Total16 |
| Complex complaints | Volume2 | Repetition1 | Revenue link3 | Data ready2 | Total8 |
Six metrics worth tracking
Measure these from week one so you can tell whether automation is helping or just adding noise.
- First response time: how long a new enquiry waits for any reply.
- Resolved without a person: the share of conversations the automation finishes alone.
- Handoff rate: how often customers need a person, and why.
- Opt-in and opt-out rate: a rising opt-out rate means messages are not relevant.
- Block and report rate: Meta tracks quality, and poor quality can limit what you can send.
- Enquiry to booking or sale: the outcome the workflow exists for.
People and process, not only software
Automation moves work rather than removing it. Decide who owns message templates, who answers when a conversation is handed over, and how quickly. A handoff nobody watches is worse than no automation, because the customer waited and got nothing.
Write the tone of voice down once, for example how formal to be and which words to avoid, so replies stay consistent whether a person or a flow sends them.
Compliance basics
These apply regardless of the tool you choose.
- Keep a record of when and how each contact opted in to receive WhatsApp messages. If budget is tight, free WhatsApp automation shows what the Business app covers at no cost.
- Use approved templates for messages sent outside the 24-hour customer service window.
- Honour opt-outs immediately and make them easy.
- Follow the data protection law that applies to your customers, such as GDPR in the EU, including what you store and for how long.
A 90-day rollout plan
A staged plan limits risk and gives you evidence before you invest more. For the choice of route and tool, see how the automation levels compare and the cost breakdown.
- Weeks 1 to 2: choose the first workflow, write the ideal conversation, collect opt-in, set up a number.
- Weeks 3 to 4: build and test with staff, including the handoff.
- Weeks 5 to 8: launch to a share of real enquiries and review conversations weekly.
- Weeks 9 to 12: fix the top three failure points, then pick the second workflow using the same score.
Three illustrative business scenarios
Hypothetical examples. They are not customer case studies.
Restaurant with reservations
A single workflow answers opening hours and takes table requests, then hands the booking to staff. Measured by response time and no-shows.
Training provider
New enquiries get a course overview, two qualifying questions and a callback slot. Measured by enquiry to enrolment.
Home services company
Customers send photos and a postcode. The flow collects details for a quote and routes urgent jobs to a person immediately.

Frequently asked questions
What should a business automate first on WhatsApp?
- Start with the conversation that is most repetitive and closest to revenue, usually the first reply to a new enquiry. Score candidates on volume, repetition, revenue link and data readiness.
Will automation replace my team?
- It takes over repetitive first replies so your team handles conversations that need judgement. Every flow should include an easy way to reach a person.
How long does it take to set up WhatsApp automation?
- A single focused workflow can be live in a few weeks, mostly spent on planning, opt-in and testing the handoff. More complex integrations take longer, and a team with developers can follow the Python webhook example.
Do I need customer consent to message them on WhatsApp?
- Yes. WhatsApp's business rules require customers to opt in before you send them business-initiated messages, and you should keep a record of it.
