Quotes are hard to compare because vendors bundle these layers differently. Separate them first, then compare like with like.

How Meta's message pricing is structured
On the WhatsApp Business Platform, Meta prices messages by category. Marketing, utility and authentication messages sent as templates are charged, and the rate depends on the category and on the country of the recipient. Replies to a customer inside the 24-hour customer service window are treated differently from template messages you start.
Because rates and rules change, the reliable source is Meta's own pricing page. Use it to look up your main destination countries rather than relying on any figure quoted in an article.
Common provider pricing models
Providers usually charge in one of three ways. Ask which one applies, because each behaves differently as you grow.
- Flat subscription: predictable, but check seat, contact and message caps.
- Subscription plus pass-through message fees: Meta's fees appear as a separate line, which is the most transparent form.
- Subscription plus markup on Meta's fees: convenient, but the markup grows with volume.
Estimate your monthly cost: a worksheet
Use this structure with your own numbers. It keeps the estimate honest because every term has a source.
Monthly cost = message fees + platform fee + (build cost ÷ months you expect to use it) + monthly maintenance.
- Message fees: for each category (marketing, utility, authentication), multiply expected monthly messages by Meta's rate for the destination country, then add the categories together.
- Platform fee: the provider's monthly price for the plan that fits your seats and contacts.
- Build cost: the quoted or estimated one-time cost, spread over 12 to 24 months.
- Maintenance: hours per month for changes and monitoring, multiplied by an hourly rate.
Eight questions to ask a provider before signing
These expose the costs that quotes tend to leave out.
- Are Meta's message fees passed through at cost, or is there a markup?
- What is the setup fee, and what does it include?
- How many agents, numbers and contacts does the plan include?
- Who writes and submits message templates for approval?
- What happens to the price if message volume doubles?
- Can I export my conversations and contacts if I leave?
- Is there a minimum contract term?
- Which tasks are included in support, and which are billed as projects?
Build or buy
A platform costs a recurring fee and saves build time. A custom build costs more upfront and gives full control, and you carry the maintenance.
